The personal data we collect depends on how you use Dartmouth Live:

2.1 Venue Subscribers

When you register as a Venue Subscriber, we collect your name, email address, organisation name, and contact details. We also receive confirmation of your subscription status from Stripe (but not your payment card details).

2.2 Artists

When you create an artist profile, we collect your name, email address, biography, and any links you choose to provide (e.g. website, social media). This information is displayed publicly on your profile page.

2.3 Public Viewers

If you browse Dartmouth Live without creating an account, we do not collect any personal data beyond standard server logs (IP address, browser type, pages visited). These logs are used for security and performance monitoring only.

3. How We Use Your Data

3.1 To provide and operate the service

We use your data to create and manage your account, display your event listings and artist profiles, process payments, and communicate with you about your account or submissions. The legal basis for this processing is performance of a contract (Article 6(1)(b) UK GDPR).

3.2 To improve the platform

We may use aggregated, anonymised data (such as the total number of events listed or page views) to understand how the platform is used and to improve it. This data cannot identify individual users. The legal basis is legitimate interest (Article 6(1)(f) UK GDPR).

3.3 To communicate with you

We may send you essential service emails, such as account confirmations, subscription reminders, and moderation decisions. We will not send marketing emails unless you have opted in. The legal basis for service emails is performance of a contract; for marketing emails it is consent (Article 6(1)(a) UK GDPR).

3.4 To comply with legal obligations

We may process your data where necessary to comply with legal obligations, such as tax and accounting requirements. The legal basis is legal obligation (Article 6(1)(c) UK GDPR).

4. Publicly Visible Data

The following data is displayed publicly on the Dartmouth Live website and is visible to anyone:

  • Event listings: event title, date, time, venue name, category, description, and ticket price.
  • Artist profiles: artist name, biography, and any links the artist has chosen to include.
  • Venue names: displayed alongside event listings.

Your email address and login credentials are never displayed publicly.

5. Artist Tagging

Venue Subscribers may tag artists on their event listings. When an artist is tagged, their name and a link to their profile will appear on the event listing. This is visible to the public.

If you are an artist and believe you have been incorrectly tagged on an event, you can contact us at hello@dartmouthlive.co.uk to request removal.

6. Cookies

Dartmouth Live uses a minimal number of cookies, limited to what is necessary for the platform to function:

  • Authentication cookies: used to keep you logged in to your account. These are essential cookies and do not require consent.
  • Session cookies: used to maintain your browsing session. These expire when you close your browser.

We do not use advertising cookies, tracking cookies, or third-party analytics cookies. We do not use Google Analytics or similar tracking services.

7. Your Rights Under UK GDPR

Under the UK General Data Protection Regulation, you have the following rights:

8. Who We Share Data With

We do not sell your personal data to anyone. We share data only with the third-party services necessary to operate the platform:

Each of these providers has their own privacy policy and data processing agreements. We have selected them on the basis that they provide adequate safeguards for personal data.

9. How We Protect Your Data

We take the security of your data seriously. Measures include:

  • Encryption in transit: all data transmitted between your browser and our servers is encrypted using HTTPS/TLS.
  • Encryption at rest: database data is encrypted at rest by our hosting and database providers.
  • Access controls: only the platform administrator has access to the database and server infrastructure.
  • Password security: passwords are hashed using industry-standard algorithms and are never stored in plain text.
  • Row Level Security: database access is restricted so that users can only access their own data, enforced at the database level.

10. How Long We Keep Data

  • Active accounts: we retain your data for as long as your account is active.
  • Deleted accounts: when you delete your account, we remove your personal data within 30 days, except where we are required to retain it for legal or accounting purposes (e.g. payment records, which we retain for 7 years as required by HMRC).
  • Event listings: past event listings may be retained in an anonymised form for historical reference, with personal identifiers removed.
  • Server logs: IP addresses and access logs are retained for up to 90 days for security purposes.

11. Children's Data

Dartmouth Live is not intended for children under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe that a child under 18 has created an account, please contact us at hello@dartmouthlive.co.uk and we will take steps to delete the account and associated data.

There is no age restriction on browsing published events, as no personal data is collected from public viewers.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in how we use data or to comply with legal requirements. If we make material changes, we will notify registered users by email and update the "Last updated" date at the top of this page.
